Next Generation Key Performance Indicators

      

Scheduling: 

  1. What is your EMR OS? 
  2. What is the process for scheduling in the clinic? Direct scheduling or centralized? 
  3. What are the release times for services on your block schedule? How often is it reallocated? 
  4. What are the day of surgery categories and definitions? Are they followed?

 
 

PACU / Preop: 

  1. How frequent / what is your average PACU hold time. 
  2. What is your percentage of preop readiness at 0600 on the day of surgery (H+P, Consent).
  3. How frequently is regional anesthesia used? Preop / Post op blocks? 

 
 

OR: 

  1. How many preference cards (PC) do you have in your system? 
  2. What % of supplies are on the card during surgery (vs added during procedure)?
  3. Who is managing them? 
  4. Do your panels match all surgeries in the booking system? 
  5. How do you make OR case staffing decisions? 
  6. How do you measure staff proficiency? 
  7. What shifts do you maintain? 
  8. Do you know where your clinical staff are spending their time? 
  9. Do you know how many staff are retiring but 1-3 year sections?

Governance / Operations: 

  1. Do you have a steering committee?  Who regularly attends (not just invited)?
  2. What does your perioperative data department look like? What data can they pull monthly? Any outside requests? 
  3. Which healthcare model? (FFS, HMO, Research)
  4. Percentage Medicare? 
  5. What is your management team structure? 
  6. Budgetary status? KPI r/t labor %, supply % by service, benchmarking.
  7. What do you track? 
  8. How do you project and monitor cases in the future?

 
 

Supply process / costs: 

  1. What is your monthly process for  monitoring / collecting supply expirations, waste? Cost? 
  2. What is your system for charge master? Are items reconciled quickly? 
  3. How do you remove unused items? 
  4. What reports do you get on stock outs. usage, back orders, etc...?
  5. Who picks the cases?   Restocks? 
  6. What is the process for supply returns from room? How quickly are they returned. 
  7. What are the shifts / frequency of restock?
  8. What is the "Bill Only" supply process? 

 
 

Value Analysis: 

  1. What is your process for new item requested by surgeon? Are items used prior to review? 
  2. Is there any gainsharing? 
  3. What is your contract accuracy status? Is there a process for reconciling supplies and contracts? Constructs? What is your percentage of off contract purchasing?
  4. Do you have a process for refusal of payment if off contract? 
  5. Do you have any gainsharing? 
  6. Are you a member of a GPO? 

 
 

SPD: 

  1. What are your instrument replacement / repair costs? Process for review? 
  2. What is the process for consignment tray management? Check in / out process?
  3. What is the process for vendor tray management? Check in / out process?
  4. What are your scope replacement /repair costs? Process for review?
  5. How often do you meet withsurgeons to reorganize trays? How many instruments removed? Process? 
  6. What is the process for loaner tray management? Check in / out process.
  7. What is your policy of vendor tray delivery prior to surgery? Percent compliance?  Average time of delivery? Process for notifying / correcting vendor      non-compliance?  
  8. What is the relationship OR vs. SPD?
  9. What percentage, which trays come to SPD bloody? 
  10. Do you have an SPD educator?
